Student Limit & Subscription Capacity Upgrade

EdixPark has improved how student limits and subscription capacity are calculated, so schools now get a fairer and more accurate billing experience.

From now on, EdixPark counts only active students toward a school's subscribed student limit. Students who are inactive, transferred, graduated, withdrawn, archived, or saved as draft records will not count against the school's paid capacity.

For example, if a school subscribes for 50 students and has 100 total student records, EdixPark will only count the students whose current status is Active.

A school may have

  • 50 Active students
  • 30 Graduated students
  • 10 Transferred students
  • 10 Inactive students

In this case, the school's subscription usage remains 50 active students, not 100 total records.

This allows schools to keep historical student records safely without being charged for students who are no longer active.

What happens when a school reaches its limit

When a school reaches its subscribed active-student limit, EdixPark will prevent the school from adding, importing, or reactivating more active students until more capacity is available.

The school can still

  • View and manage existing student records
  • Update student information
  • Graduate students
  • Transfer students
  • Mark students inactive
  • Manage historical records

However, the school cannot add a new active student or reactivate an inactive student if doing so would exceed the subscribed capacity.

Upgrading student capacity

Schools can upgrade their student capacity directly from the Billing Center.

When the active-student limit is reached, EdixPark will display clear guidance showing the current active student count, subscribed capacity, remaining available slots, and upgrade option.

The school administrator can enter the new student capacity they want, and EdixPark will calculate the billing amount based on that selected capacity.

Fair billing for mid-subscription upgrades

For mid-subscription upgrades, schools do not pay the full new subscription again.

Instead, they pay only the prorated difference for the remaining subscription period.

Upgrade charge = (New total price - Current total price) x Remaining days / Total subscription days

Example

Current plan

50 students x ₦500 = ₦25,000

New capacity

100 students x ₦500 = ₦50,000

Difference

₦50,000 - ₦25,000 = ₦25,000

Subscription duration

120 days

Remaining period

60 days

Upgrade charge

₦25,000 x 60 / 120 = ₦12,500

This means the school pays ₦12,500 today, and the upgraded capacity becomes active immediately until the current renewal date.

At renewal, the school pays the full subscription amount for the new capacity.

Downgrade policy

Capacity upgrades take effect immediately after payment.

Downgrades do not take effect immediately. They are scheduled for the next renewal date and cannot be lower than the school's current active student count.

This protects the school from sudden access changes while keeping billing fair and predictable.

What the Billing Center shows

The Billing Center will clearly show

  • Current active student count
  • Maximum subscribed student capacity
  • Remaining available student slots
  • Over-capacity warnings
  • Upgrade amount
  • Prorated billing amount where applicable
  • Next renewal billing amount

This update gives schools full visibility into their subscription usage and allows them to scale their student capacity as enrollment grows.

The result is a fairer, cleaner, and more professional subscription experience for every school using EdixPark.
